Office Manager/Administrative Assistant, Silver Spring, MD
Seeking an experienced office manager/Administrative Assistant to join our team full-time. The office manager/Administrative Assistant is an essential part of our team and helps the company to run smoothly and achieve organizational goals.
Administration Assistant is responsible to perform support activities both clerical and technical in nature as required to assist the various team members and other site personnel on various construction projects. This position is in person office setting in our downtown Silver Spring, MD office. Hours being 8:00am to 4:30pm.
Data Entry and Documentation:
Create and maintain records, documents, and databases.
Input and update information accurately into various systems.
Prepare and edit reports, memos, and other documents.
Scheduling and Calendar Management:
Schedule and coordinate appointments, meetings, and conferences.
Manage executives' and managers' calendars.
Send out meeting invitations and reminders.
Answer and direct phone calls, emails, and inquiries to appropriate personnel.
Draft and proofread emails, letters, and correspondence.
Maintain confidentiality and handle sensitive information discreetly.
Record Keeping and Administrative:
Maintain and update employee records, including contact information and attendance records.
Assist in HR-related tasks such as onboarding paperwork and timekeeping.
Development and maintenance of technical lists such as phone/email lists, project related forms and others
Assist with general administrative task such as filing and copying.
Knowledge and skills relevant to a IT Construction office performing technical tasks and/or assisting with technical and general tasks
Technology and Software
Proficiently use office software tools, such as Microsoft Office Suite.
Learn and adapt to new software and systems as required.
Address and resolve routine administrative issues.
Escalate complex issues to management when necessary.
Associate degree or equivalent (Bachelor’s degree preferred).
Proven experience as an administrative assistant or in an office manager or similar role.
Strong computer skills, including proficiency in Microsoft Office Suite.
Excellent written and verbal communication skills.
Attention to detail and a high level of accuracy.
Ability to maintain confidentiality and handle sensitive information.
Results driven, able to work semi-independently, ability to work well in a construction office environment.
